Night Department – Record label and Marketing Assistant

About the role

We are seeking a highly organised and detail oriented Record Label Assistant apprentice to support the day-to-day administrative/marketing and operational functions of Night Department and its label roster.

This is a coordination focused role positioned at the core of internal operations, providing essential support to the Legal & Label Manager and wider team. Responsibilities span social media and marketing, contract administration, release logistics, communications, and general office management.

The ideal candidate is proactive, reliable, and confident managing multiple priorities within a fast-paced environment.

Key Responsibilities

Contract & Legal Administration

  • Maintain and update the internal contract tracking system, including monitoring deadlines, renewals, and outstanding deliverables
  • Assist in preparing, formatting, and organising agreements and related correspondence for review and execution
  • Manage DocuSign workflows and ensure all executed documents are accurately filed and recorded

Release & Project Coordination

  • Maintain release schedules and internal timelines using Notion
  • Coordinate asset delivery from artists, designers, and collaborators, ensuring all materials meet brief requirements and deadlines
  • Assist with release setup, including metadata checks and artwork approvals ahead of distribution
  • Track and follow up on outstanding approvals and deliverables across active projects

Social Media

  • Support day-to-day social media management across all label accounts
  • Schedule and publish content in line with release campaigns and editorial calendars
  • Draft captions and adapt tone of voice in line with brand guidelines
  • Coordinate creative assets (artwork, video, audio) with internal teams and artists
  • Monitor community engagement, including comments and direct messages
  • Track performance metrics and assist with campaign reporting
  • Stay up to date with social and cultural trends to inform content ideas ● Source live content and clips from internal Night Department teams
  • Provide general support across digital marketing and release rollouts

Marketing & Press Management

  • Support the coordination of press campaigns for label releases, acting as a liaison with PR partners and media contacts
  • Draft press pitches and release announcements
  • Assist with preparing and distributing promotional mail-outs via Inflyte
  • Maintain and develop up-to-date media and promotional contact lists
  • Support the development and execution of release marketing plans in collaboration with the Legal & Label Manager

Communications & Stakeholder Support

  • Act as a point of contact for internal and external queries, responding where appropriate and escalating when necessary
  • Maintain accurate and up-to-date contact databases for artists, collaborators, and partners
  • Support artist communications and ensure timely approvals across projects

General Administration

  • Maintain organised digital filing systems across contracts, releases, financial records, and correspondence
  • Assist with scheduling, meeting preparation, and follow-up actions
  • Support invoice tracking and basic financial administration in coordination with the wider team
  • Provide general administrative support to the Legal & Label Manager and wider team as required
Training to be provided

  • Level 3 Multichannel Marketer
  • In-house Mentoring

Personal Qualities

  • Good eye for detail
  • healthy interest in electronic dance music.

Skills Required

  • Excellent verbal and written communication skills
  • An eye for detail
  • Social Media experience

Important other information

Must have an appreciation of dance music culture.

Qualifications Required

Min GCSEs in Maths/English

Future Prospects

Full time permanent position post apprenticeship.
